From a new job to a signed Take 5

Follow this to see the safety side of TaTasque end to end: set up a job, add a task, build and approve a SWMS from a starter, sign on to it, then do a Take 5 on the task. It takes about 20 minutes. Button names are shown in bold exactly as they appear on screen.

0Before you start

Please use a test job, and treat everything you create as practice. Nothing here is sent outside TaTasque unless you use Email a copy or sign someone on as a guest.

1Create a job

Work is organised as Job › Folder › List. Tasks live in a list, so a new job needs at least one list.

  1. On the left is the Jobs panel. Click the + in its heading (New job).
On a phone: tap the project name (Project ▾) in the top bar to open the jobs page.
  2. Type a Name, for example OHS test – Smith St. Leave Start from as Empty job.
  3. Click Add job.
  4. On the new job's row, click ⋯ then + List. Name it Field and click Save.
  5. Click the new list so it is selected. New tasks go into it.

2Create a task

  1. Click + New task in the task toolbar.
On a phone: tap the round + above the bottom bar, then New task.
  2. Check Destination shows your new list.
  3. Type a Title, for example Site work, Smith St (road open to traffic). Title is the only required field; add a description if you like.
  4. Click Create task. The task opens in the panel.

3Build a SWMS from a starter

SWMS live at company level, not on a job. Once a version is approved, it is offered in every task's Take 5.

  1. Top bar: Company → Safety. The Safety — SWMS library opens.
  2. Click + New SWMS.
  3. Under Start from, choose one of the Starter: … options, for example the one for work next to a road in use. Starters are ready-made drafts to edit; Blank — write our own is also there.
  4. Click Create the draft. Version 1 opens as a draft.
  5. Work down the sections, pressing Save on each:
    • The work: what, where and how.
    • High-risk construction work: tick the categories that apply (the 18 categories of WHS Regulation r.291).
    • Steps, hazards and controls: each hazard has Risk before controls (likelihood × consequence on the company's risk matrix), its controls with a Kind (Eliminate, Substitute, Isolate, Engineering, Administrative, PPE), and Risk after controls, plus who is Responsible.
    • How the controls are monitored, How this SWMS is reviewed, Emergency arrangements, Who is in control.
  6. Anything still missing is listed on the page. Warnings, such as a hazard controlled by PPE alone, are shown but don't block.
  7. When nothing is missing, click Submit for approval. A submitted version can't change; a change means a new version (Revise (new draft)).

Approve it

  1. On the submitted version, find Approve version 1.
  2. Choose They sign here, fill Approved by (and organisation and capacity if you like).
  3. Click Sign to approve…, draw your signature, tick the consent box and press Sign. The version is now Approved.
The starters are TaTasque's own wording, and each one is marked "Starter — have a WHS professional review before use". Your view on them is exactly what Gary is after.

4Read it and sign on

  1. On the approved version, click Read it and sign on. The reader opens.
  2. Read through it. The reader also has Print and Email a copy.
  3. Click Sign on, draw your signature, tick the consent box and press Sign. You now appear under Signed on (read and understood).

Someone without a TaTasque login, such as a subcontractor, can sign on from the same device with Someone not on TaTasque signs on. They give their name and email, draw a signature, and are emailed a copy.

5Do a Take 5 on the task

  1. Open your task from step 2 and go to its Take 5 tab (shown as T5 on narrow phones).
  2. Click Start a Take 5. The form has five parts:
1. StopTick the SWMS for this work. If you haven't signed on to it yet, use Read it and sign on first.
2. LookEach control from that SWMS: In place, NOT in place or Doesn't apply (which needs a reason).
3. AssessThe company's questions (fit for work, right PPE, tools safe, weather and light, and so on), answered Yes or No. Then add anything on site today with + Site hazard: its risk, how you control it, and the risk after.
4. ControlTick if the work is NOT as the SWMS describes, and say how it differs.
5. Sign and finishAnything left to fix is listed first. Then draw your signature.

The result is PROCEED or STOP. It is a STOP if any SWMS control is not in place, the work differs from the SWMS, a stop question is answered wrongly, or a site hazard is still at the stop level after controls.

Try a STOP: start a second Take 5 and mark one control NOT in place. After signing, the task gets a Safety stop that tells everyone not to start. A later Take 5 that says PROCEED clears it, or an Admin can clear it with a note.
